CHCC Board Position Descriptions
The President will be the chair of the Board, will preside at the Annual and Special Meetings of the Corporation and at meetings of the Board unless otherwise designated, will be the official spokesperson of the Corporation, will be an ex-officio non-voting member of all Committees and will perform such other duties as may from time to time be established by the Board.
The Vice President will, in the absence or disability of the President, perform the duties and exercise the powers of the President, will report to the Board on behalf of League Coordinators and will perform such other duties as may from time to time be established by the Board.
The Treasurer will, subject to the powers and duties of the Board, keep proper accounting records as required by the Act, will cause to be deposited all monies received by the Corporation in the Corporation’s bank account, will supervise the management and the disbursement of funds of the Corporation, when required will provide the Board with an account of financial transactions and the financial position of the Corporation, will prepare annual budgets, will oversee and supervise office staff, and will perform such other duties as may from time to time be established by the Board.
The Secretary will be responsible for the documentation of all amendments to the Corporation’s By-laws, will ensure that all official documents and records of the Corporation are properly kept, cause to be recorded the minutes of all meetings, will prepare and submit to each Meeting of the Members and other meetings a report of all activities since the previous Meeting of the Members or other meetings, will give due notice to all Members of the Meeting of the Members of the Corporation, and will perform such other duties as may from time to time be established by the Board.
The Property chair is responsible for all maintenance activities inside and outside the club. They will coordinate with club manager for any required services pertaining to the upkeep of the club such as cleaning contracts and maintenance service contracts. The Property Chair will coordinate with the Ice Chair for any maintenance activities in the ice shed. The Property Chair will assess and then report to the board for approval of any large-scale maintenance projects.
The Ice Chair is the main point of contact from the Ice Technician to the Board and members. Confirming that the Ice Technician has all the tools and equipment in place to preform his/her daily ice maintenance duties. Making sure that the Ice Technician is up to date with the Club Calendar and any current adjustments. Plans with the Ice Technician for scheduled maintenance with the Ice Shed equipment, as well as Power Plant maintenance. Schedules regular on ice performance checks with the Ice Technician for speed, curl and overall ice quality. Developing and managing the annual budget for the ice related expenses.
The Match Chair is responsible for running the end of season event open to all leagues. During the regular season, the Match Chair runs one or more one day fun matches open to all members. The Match Chair may be required to manage outside curling events taking place at the Club.
The Match Chair will perform such other duties as may from time to time be established by the Board.
- Update the club registration system with board approved membership, league and add-on product fees and discount structures for the coming curling season
- Update the club registration system with bonspiel information and fees for club hosted events
- Address member requests for league and bonspiel registration, deregistration and adjustment assistance
- Coordinate with the Treasurer to process and record league, bonspiel and add-on refund requests within the club registration system
- Coordinate with the Treasurer to reconcile financial and club registration system records
- Report to the board on league, bonspiel and overall registration and payment status
The OCA / OVCA Chair is the club’s representative in all interactions with the Ontario Curling Association and the Ottawa Valley Curling Association. This includes keeping the club informed of information disseminated from and any changes proposed by these organizations, communicating the club’s position on any issues, and ensuring that the club remains in good standing with them.
The Youth Chair is responsible for delivering an engaging and fun program for youth. This includes ensuring instructors are trained in the delivery of curling programs at all levels and in working with youth more generally. The Chair may also seek opportunities for youth teams to experience competitive bonspiels within the area.
